Program Details: Workshops

For this year's edition, you must select two workshops.
You will be allocated into one of your selected two workshops. If you are placed in the Design For Science workshop, we will email and invite you to submit a piece of work for feedback during the session.

1. Mindful Productivity - Become more productive and lead a happier research life
2. Eco Walk - Explore the local ecology and surroundings of Soest
3. Birdwatching - A guided experience to observe the diverse, natural local bird life
4. How to Network - A workshop to learn the basics of networking
5. Design for science - Tips and tricks for your figures, posters and diagrams with tailored, personal feedback
6. Managing your supervisor - Learn how to identify problems you might have with your supervisors and how to tackle them

Program Details: Presentations

Do you intend to present a poster or give a presentation?

PhDs in their first or second year will have the opportunity to present their PhD proposal or initial results in a short presentation. PhDs further along in their projects can present their research in a longer presentation. Everybody is welcome to present a poster during the poster session.

In case of presenting at the Annual Meeting, please be so kind to submit a different poster or abstract.

Program Details: Discussion Topics

During the Get2Gether, there will be an event in which we discuss different topics related to science and working as a PhD. 
We would very much like to have your input for this. If you have a topic that you would like to share with us, please let us know. 

Practical: Accommodation

Do you wish to stay overnight at the StayOkay hostel?

Rooms with multiple beds will be available. You will share a room with fellow PhDs of the same gender.

Please be aware that we pay per person that is staying overnight. Therefore we will charge a no-check-in fee of € 50,- if you don't use the room, unless you have a valid reason to cancel.

Do you have any allergies, food intolerances or dietary requirements?

Note: the entire event will be vegetarian by default.

Would you like to join the bus from Wageningen to Soest  (8/5) and from Soest to Wageningen (9/5)?

 The bus will only drive twice: from Wageningen to Soest before the event and from Soest to Wageningen after the event. Any travel in between should be arranged by yourself. Be aware that this is an official sign up, so let us know at least a week in advance if you are not joining the bus anymore so that someone else can take your spot. We will send the confirmation of your bus seat on the 20th of May. 

If you decide to use public transport (or your own car) you can ask for reimbursement of your traveling costs at your own department.

We will charge a no-show fee of € 25,- for cancelations, unless you have a valid reason to cancel.

Joining the PhD Council

Are you interested in joining the EPS PhD council, or do you wish to learn more about our activities and responsibilities? Please come and find us during the event if you have any questions. You can also indicate your interest below and we will contact you when we need new members.

Goodie Bag

Would you like to receive a goodie bag? The goodie bag will contain a mug and some merchandise.

Being a Buddy 

The main purpose of this system is to help junior PhDs (buddies) find their footing in their new environment: a new department, new institution and new city all at the same time can be quite challenging!

We encourage buddy pairs to meet each other in person. Good to know that you can be reimbursed for a drink together with your buddy. EPS will fund up to 25€ each time you do (for a maximum of three times a year).

So if you are a new EPS PhD candidate looking to settle yourself into the life of a EPS PhD candidate please sign up using the link below. Likewise if you are a EPS PhD candidate who would like to join the EPS PhD buddy program as a senior buddy (you can already be a senior buddy if you have been doing your PhD for 6 months) to help welcome new junior buddies please sign up as a senior buddy using the same link.

Non-contracted PhD

The EPS PhD council is aware of the many issues that non-contracted Phd candidates face. To understand and discuss this topic we (EPS PhD council) would like to invite you to get in touch if there is anything you want to share. There is also a Teams page where non-contract PhDs can discuss their issues. Please contact us if you would like to be added to the Teams page.

We would like to see how many non-contracted PhDs attend the Get2Gether, so please let us know!

Privacy and Payment

Do you accept that your personal details (name and affiliation) will be visible in the abstract booklet for the event?

Your personal information will not be used for any other purpose than the organization of the Get2Gether. Furthermore, they will not be shared with any third parties.

During the event, pictures will be taken for promotional purposes. They will be shared on the website and social media accounts of EPS. If you do not wish to be included in these pictures, please contact the organization (eps.phd.council@gmail.com)

If you're clearly incapacitated, we will not share pictures of you ;)

Privacy Statement and Cancellation Fee

By submitting this form you agree that you are actively participating in the EPS PhD Get2Gether 2025.

You may cancel free of charge up to one month before the Get2Gether (24th of April).

Within two weeks of the event you will have to pay € 75,-. Unless you can find someone to replace you and supply us with the name and contact information of your replacement. In this case you will only be charged a € 50,- cancellation fee.

We will charge a no-show fee of € 150,-, unless you have a valid reason to cancel (illness or death in the family 1st or 2nd degree). In this case no fee will be charged and your supervisor/PI must send a mail indicating the reason for cancellation.

Please be aware that cancelation fees are topped up on the registration fee of €100,-.

Note: We encourage all EPS PhD's to join the Get2Gether. If you are a non-contracted PhD student and have trouble paying the registration fee, please contact the council at eps.phd.council@gmail.com (include your PI in CC), and we will see if we can come to a solution.
