Fees

 

Registration via this conference website is obliged to attend all scientific sessions and social events. Please note that only fully registered participants will be admitted to the scientific sessions and that presenting authors must be registered participants. 

Below you will find an overview of the participation fees.
Fees are in EUROS incl. VAT.

* A certificate confirming Master or PhD student status must be submitted as a scanned copy during registration; or a declaration / letter from the supervisor to proof someone is a PhD student. 

The registration fee includes:

• Welcome reception
• Participation in the full official conference programme from 22-26 March 2025
• All lunches and coffee/refreshment breaks
• Excursion
• Conference dinner

Confirmation 

Registration in the 8th IBWS meeting will be confirmed by email once the registration fee has been paid.

Delegates registering within the early bird registrations deadline shall pay for their registration within the deadline above mentioned. After that date the Late registration fee will be applied to all unpaid registrations. No exception will be made.

Terms of Payment 

The payment will be in Euro currency: it can be made by IDEAL (only for our Dutch guests), wire transfer, PayPall or credit card. Payment by credit card or PayPall involves significantly high fees. We therefore recommend paying via IDEAL if possible. 

Cancellation and Refund Policy for Registration 

Cancellation request can be made through the registration/deregistration system.

Refunds will be made automatically, according to the following terms:

• Cancellation received before 31 January 2025: 50% refund.
• Cancellation received after 31 January 2025: no refund.

If for reasons beyond the control of the organisers the meeting is cancelled, registration fees will be refunded following deduction of unavoidable expenses. No refund will be given in case of no-show,  unused services, unattended events or early termination of attendance.

Should the Organisers decide to transform the meeting into a virtual/hybrid event for reasons beyond their control, the same cancellation and refund policy for registrations will be applied.

Cancellation of event 

The event secretariat reserves the right to cancel the meeting, shift venue or change dates in case of “force majeure”. 

Liability and Insurance 

Registration fees do not include the insurance of participants against personal accidents, sickness and cancellations by any party, theft, loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodation, cancellation and personal effects.
